Importing Your Course Calendar into Google Calendar

Step 1 - Copy the Google Sheet

Pick the right Google Sheet to use based on your division.

*Note - Crossover teachers will have to do the middle school and high school parts of your schedule separately.

Open this document and make a copy, name in rename it a meaningful name, like “2016-17 Jane’s MS Course Calendar”.

 

Step 2 - Add in Your Teaching Times

Navigate to the “Teacher Schedule” tab on the bottom of the sheet.


Go through the schedule and fill in the time slots for your classes. Make sure you name these meaningful for the class because this is what the event title will show up as on your calendar. Wolf Pack Time is already filled in for you.

Do not fill in the slots below the yellow highlighted area. Those cells will copy from what you have entered in the yellow area and reflect Wednesday schedules for each day in the rotation (ie. ending at 3:00pm and with no Wolf Pack Time)


 

 

You can copy and paste the same course to the various time slots in your schedule.

Step 3 - Run Initial Installation

Go to the formMule option in the upper menu and choose “Run Initial Installation”.

 

Authorize the script.

All the request for permission.

Step 4 - Define Merge Source Settings

Click the formMule menu again and select “Step One: Define Merge Source Settings.”

 

Set the Merge source to be “Master Schedule” and click “Save Settings.”

 

Step 5 - Set Up Calendar Merge

Click the formMule menu again and select “Step 2b: Set Up Calendar Merge.”

 

Click the checkbox next to “Turn on calendar-event merge feature.”  Under “Create Event Condition” set the drop down box to “Description.” Type “NOT NULL” in the field to the right of “Description.”

 

Open up your Google Calendars in another tab. Select and copy the Calendar ID of the Google Calendar you wish to add the events. It should be your main calendar (with your name).

    1. Go to Settings

    2. Beside the Calendar Address: highlight the complete address beside Calendar ID: and press CRTL - C or Command - C

 

This will be the same as your email address if you are mapping to your main calendar.

 

Paste the Calendar ID in the box provided and set “Event Title” to ${"Description"}

 

Scroll down in the pop-up panel and set “Start Time” to ${"Start Date Time"}, and “End Time” to ${"End Date Time"}.

 

Scroll to the bottom of this panel and click the “Save Calendar Settings” button.


 

Step 6 - Preview and Perform Manual Merge

Go back to the formMule menu and click “Preview and perform manual merge.”

 

Look over the “Event Create” tab and make sure that the values are correct. Then click “Run Merge Now” if everything looks right.


 

Step 7 - Run the Merge Again as Needed

You may need to run the merge 3 or 4 times, waiting at least 10 minutes between merges. The merge will pick up where it left off.  A year-long schedule has over 1000 events so a single merge will not complete the year.

 

Go back to the formMule menu and click “Preview and perform manual merge.”
